Task phases are the production-phase labels on task boards. You keep two lists: one for internal work, one for client / external projects.

Settings → Project workflow → Task phases (/settings/project/task-phases).
Internal vs client / external
Tabs:
- Internal projects: work without an external client company
- Client / external: delivery workflow when a client company is linked
Cross-project Tasks and project task boards use the list that matches the project. Mixing them up makes filters and boards look “wrong”.
Add, rename, reorder
- Open the tab you need.
- Enter New phase name → Add phase.
- Edit Display name when needed (Slug is stored for the system).
- Move up / Move down to reorder.
- Remove phase only when you no longer need it. At least one phase must remain per list.
Restore default phases
- Restore default phases.
- Select which built-in phases to add. Phases already present stay (shown as Already in your list). Custom phases are not removed.
- Select all / Deselect all as needed → Add selected phases.
Built-ins depend on the tab. Examples include Marketing, Sales, Operations, Strategy, Finance, HR, Account Management, Project Management, Pre-Production, Production, Post-Production, Distribution.
Things that trip people up
- Editing only Client / external and wondering why internal projects look different.
- Removing every useful phase and leaving a single vague label.
- Confusing these with Production phase on Project Types default tasks, or with Asset labels.
