Work contracts (Team)

A work contract is how Clippter knows someone’s schedule, cost, vacation entitlement, and time targets. Without an active contract, tracking expectations, capacity, and some cost logic stay incomplete.

Contracts are edited per person under Team → open the member → Contract.

Managers with team permissions set these. People can often view their own schedule on Settings → My work profile (read-only).

Before you start

  • Invite the person to the workspace and keep them an active member.
  • Decide employment type (employee, freelancer, and so on) before you fill tax-on-payment fields that only apply to some types.

Add or edit a contract

  1. Go to Team and open the person.
  2. Open the Contract section.
  3. Click Add contract (or edit the current one).
  4. Fill the required fields and save.

You need at least:

  • Valid from (and Valid until when ending or bounding the period)
  • Working hours on at least one weekday (0 = non-working day)
  • Cost rows when you use cost components (each row needs a name and amount)

Clippter shows Working hours / week from the daily hours you enter.

Periods and new contracts

When someone’s hours or rate change, end the current contract (Valid until, or End contract) and start a new contract from the next day. That keeps historical cost and schedule aligned with the right period.

You can’t stack overlapping active periods. The product warns if periods overlap.

Employment type

Employment type is required. Some types show tax on payment options (for example tax included vs no tax, and a rate). Use the type that matches how you pay that person.

Tracking and billable targets

FieldMeaning
Tracking target %Share of contract hours that should be logged on projects (client + internal). Empty = not set. 0% can mean time tracking is not required, depending on how you use it.
Billable target %Share of logged project hours that should be client (billable). Empty = not set.

Cost rate and cost components

Set how Clippter should treat employer cost for that person (cost rate and/or cost component rows such as gross salary and charges). That supports project actual cost and finance views. If there’s no active contract with a usable rate, some time/cost flows will ask a manager to fix the contract first.

Vacation

Annual vacation entitlement and remaining balance live with the work profile / contract setup on the team member. Calendar holidays only change which days count when someone books vacation dates. They don’t increase the vacation balance.

Freelancer-style setups may not use vacation entitlement the same way; the product points those people to other leave flows (for example time-for-time or sick leave).

After you save

  • Settings → Team tracking overview shows contract hours/week and targets for the team.
  • Setup / reminder banners can clear once active contracts and targets exist.
  • Workspace time rules use contract days to decide what counts as an open unlogged day.

Common mistakes

  • Inviting people but never adding a contract: missing-time and capacity stay wrong.
  • Changing hours on an old contract instead of ending it and starting a new period: history and costs blur together.
  • Setting tracking target empty and then wondering why managers see “targets to set”.
  • Confusing workspace Holidays with vacation balance on the contract.
  • Expecting My work profile to edit the contract: it’s read-only; edit under Team.
