Reuse a quote structure so sales does not start from a blank page every time. Pair templates with rate cards so lines and deliverable assets stay consistent.
Where
Settings → CRM & sales → Quote templates (/templates). Page title: Quote Templates.
List actions: New Template, Restore Default Templates, Delete All Templates. Types you may see: Default, Custom, Client Specific.
Build a template
- New Template (or open an existing one → Edit Template / duplicate with the copy action; name gets
(Copy)). - Add sections (Add section, Section name).
- Add line items with New from rate card wherever possible (crew, equipment, deliverables).
- Mark post-production / deliverable lines as assets on the rate card or template so won projects get Assets and video review hooks.
- Optional Default Settings: Payment Terms, Delivery Deadline, Tax Rate.
- Save Changes (or Save as Template / Save Template when saving from a live quote: Template Name required).
When you Save as Template from a quote with Custom quotes content, the template also stores presentation mode (Basic/Custom), Project Summary, Pitch video, and Section intros. Applying the template to a new or existing quote copies that pitch with the line items.
Templates are a starting point. On the real quote you still adjust quantities, optional lines, and client wording.
Use a template on a quote
- Create New Quote (ideally from a deal).
- Choose how you want to create the quote → From Template.
- Select Quote Template → Create Quote.
- Check linked vs custom lines: Linked to rate card — price stays in sync with your Pricing settings vs a custom / overridden rate.
Restore defaults
Restore Default Templates adds missing built-in templates without wiping customs you already edited (same idea as other restore flows). Delete All Templates clears your list; use only when you mean it.
Things that trip people up
- Template with no assets marked: projects and review stay thin after won.
- Letting templates drift from the live rate card (everything becomes custom rates).
- Building every quote ad hoc instead of Save as Template when you sell the same package weekly.
- Expecting Pricing markup changes to rewrite overridden template lines.
