Rate cards and pricing

A rate card is your sellable menu: crew, equipment, deliverables, and expenses. Pricing settings set the default internal hourly baseline and markups that feed client prices.

If you are building a first quote, start here, then open Create and manage quotes.

Where

  • Rate cards: Settings → CRM & sales → Rate cards (/rate-cards). Page: Rate Cards.
  • Pricing: Settings → Pricing (/settings/pricing). Page: Pricing Settings.

Pricing settings

Configure defaults, then Save Settings:

A Final External Rate preview helps you sanity-check. Rate card groups and line items stay on Rate cards (link on the page).

Changing markups does not rewrite quote lines that were overridden as custom rates. Linked lines stay in sync with Pricing.

Rate card groups

  1. Open Rate Cards.
  2. Create Group / Create New Rate Card Group (Group Name), or Create Rate Card.
  3. Duplicate a group when you need a variant. Restore Default Templates adds missing defaults. Delete All Rate Cards clears everything (careful).

Add rate items

  1. Open a group → Add Item / Add Rate Item.
  2. Set Service Type and category (Crew & Services, Equipment, Deliverables, Expenses, Other (custom)).
  3. Choose Internal or External pricing behaviour, Use Default Internal Rate ({rate}/hour) or Use Custom Rate, Owned / Rented for gear when relevant.
  4. For deliverables, fill asset metadata so won projects get real Assets:

- Asset Type (Main, Resize, Translation, Short Version, Snippet, Teaser, Extra, Stills) - Media Type (Video, Photo, Audio, Static ads, Stills) - Parent Asset, Format, Duration (seconds), Subtitles, Quantity, Language as needed - On the quote: use + Sub-asset on Main (or Short / Resize) to nest Resize, Translation, Resize + Translation, and other child types

  1. Save. Edit Item / Duplicate Item / Delete Item as you maintain the menu.

Those deliverable asset lines are what feed video review after a won quote. Money-only lines without asset metadata leave Assets thin.

On the quote

Prefer New from rate card. Linked lines show that price stays in sync with Pricing. Custom rate means you broke the link on purpose.

Quote templates

Settings → Quote templates reuses sections and lines. Pair them with rate cards: Quote templates.

Things that trip people up

  • Empty rate cards while sending quotes.
  • Deliverable lines that are not assets: Assets / review stay thin after win.
  • Quotes with only ad-hoc lines: margins drift.
  • Changing Pricing markups and expecting overridden lines to rewrite themselves.
  • Confusing Asset Type on a rate line with Asset labels on the project Assets tab.
