Quotes and invoices need your bank details, tax info, and payment defaults filled in before they can go out cleanly. Cost structure here is what you pick when you allocate bank lines later.
Where
Settings → Company Finance.
Two tabs:
- Banking & invoices
- Cost structure (
?section=cost-structure): also its own Settings hub card Cost structure
Banking and tax
Fill in the fields for your country and how clients pay you (IBAN and BIC, or the local account fields). Add tax ID and registration numbers when client documents need them.
Incomplete banking or tax data can block moving a quote to Sent, or block exporting client documents. See Why you cannot send a quote.
Editing bank details may need a separate permission from other company settings.
Payment defaults
| Setting | What it does |
|---|---|
| Default payment terms | e.g. days until due |
| Payment structure | How tranches split (100% on acceptance, 50/50, 4×25%, per month, and the other options on the page) |
| Default payment method | e.g. bank transfer |
| Default delivery deadline days | Turnaround after shoot / material handover (not an auto-filled project go-live date) |
| Require client VAT / tax number | Extra validation for clients when you turn this on |
Download timing for clients also follows Company Workflow and payment rules: Downloads and payments.
Default billing source
| Option | Meaning |
|---|---|
| Clippter (default) | Invoicing and revenue follow-up stay in Clippter |
| External (legacy invoiced/paid) | Treated as billed outside Clippter |
| Mixed | Legacy plus the remainder in Clippter |
Projects can override later. External can pull a project out of normal Clippter invoice follow-up.
Cost structure (operating vs project)
Open Cost structure.
Tabs:
- Operating expenses: cores (P&L groups) and sub-lines. Sub-lines are what you choose when you allocate a bank transaction as Overhead.
- Project cost types: what you choose when you allocate as Project cost.
On each line you can set Name, Tax on bank payment, and Ledger (ledger account for exports / chart of accounts).
Restore and add
- Restore default cores / Restore default sub-lines: Select all or Clear selection, then Restore selected. Existing customs stay; only missing defaults are offered.
- Add custom core / Add core, Add custom sub-line, Add custom project cost type.
- Remove core when you no longer need a group (confirm impact on allocations first).
Default operating cores include Facility costs, General & administrative, Professional services, Technology & subscriptions, Sales & marketing, Advertising & paid media, Travel & entertainment, Training & development, Equipment & maintenance, Business insurance, Taxes & levies, Other operating, and Project cost (among the built-ins your restore list shows).
Day-to-day booking is under Finance → Cost / Expenses (allocation types Overhead, Payroll, Project cost, and so on). Full how-to: Costs: import and allocate bank lines.
Things that trip people up
- Sending quotes before bank and tax pass completeness checks.
- Payment structure that does not match how you invoice.
- External billing and “missing” Clippter invoicing.
- Allocating bank lines before any cost structure lines exist.
- Sub-lines without Ledger filled when finance needs export mapping.
- Restoring defaults and expecting custom cores to disappear (they do not).
