Create and manage quotes

Quotes are where you price the job and define the assets you’ll deliver. Win them from a CRM deal so the project starts clean.

Where

CRM → Quotes, or open a deal and create the quote from there. Prefer the deal path so company, pipeline, and won → project stay linked.

Statuses: Draft, Sent, Won (accepted), Lost, Expired.

Build the quote

  1. Start from a deal when you can.
  2. Open New Quote (or create from the deal).
  3. Add sections and line items from your rate cards. Don’t invent every line by hand if the card already has it.
  4. Put the real deliverables on the quote and mark them as assets (post-production / deliverable lines with asset metadata). Those become project assets and land in video review after you win. On a deliverable (including Main), click Included / Optional next to the type badge — optional lines stay on the quote and PDF with their price so the client can see what they would cost, but they do not count in the total. Marking a main optional also marks its child assets optional.

Deliverable tree (Main → Resize / Translation)

Book one Main per cut (master edit). On the main (or Short / Resize where allowed), click + Sub-asset and pick:

  • Resize — same cut, other aspect ratio
  • Translation — same format, other language or subtitles (nest under the Main or under a Resize)
  • Resize + Translation — one step: other format, with a language/subs child nested under that Resize
  • Short, Snippet, Stills, Extra — shorter cuts, stills, or other nested deliverables

Typical example (4:5 without subs, plus ENG, plus 16:9 both ways):

  1. Main — 4:5, no subs
  2. + Sub-assetResize + Translation on Main → 4:5 ENG, 16:9 without, and 16:9 ENG under that Resize

Or add Translation / Resize one by one from the same menu if you only need one axis.

Do not create a second Main for “with subs” unless it is a different edit.

  1. Set delivery, feedback rounds, and expiration when you need them. Defaults often come from Company workflow and Company Finance.
  2. Attach the right T&Cs and check footer / signature.

If Custom quotes is enabled under Custom quotes, open in the quote editor and choose Clippter Basic or Custom. Custom applies brand colours, document logo, fonts, a rich Project Summary, optional Section intro blocks, and an optional Pitch video from Company branding on the client quote. Use Save as Template to reuse that pitch on the next quote — see Quote templates.

Retainers may need package duration (months) before PDF export.

Share or send

In the quote editor, Share can create a link, email via Clippter, or manage links (including talent links when you use them).

Moving status to Sent can be blocked if Company Finance is incomplete. See Why you cannot send a quote.

Win and create the project

When you set the quote to Won and a deal is linked, Clippter opens Mark deal as won (unless a project already exists for that quote or deal).

You’ll usually choose:

  • Create a new project
  • Add budget to an existing project
  • Do nothing

There may be a tasks and milestones step next.

This is the path you want for client work. Dragging a deal stage to something like “won” without finishing the quote / wizard does not give you the same handoff. Starting from Projects → New blank also skips the asset and budget carry-over. See Projects overview and Get started.

Things that trip people up

  • Sending before finance setup is complete.
  • Quote with no deal, then a painful won → project later.
  • Money-only lines, no assets marked: review has nothing sensible to hang versions on.
  • Expecting status Won alone to create a project without finishing the wizard.
  • Forgetting T&Cs or signature before the client sees the PDF.
