Create and manage quotes

Quotes are where you price the job and define the assets you’ll deliver. Win them from a CRM deal so the project starts clean.

Where

CRM → Quotes, or open a deal and create the quote from there. Prefer the deal path so company, pipeline, and won → project stay linked.

Statuses: Draft, Sent, Won (accepted), Lost, Expired.

Build the quote

  1. Start from a deal when you can.
  2. Open New Quote (or create from the deal).
  3. Add sections and line items from your rate cards. Don’t invent every line by hand if the card already has it.
  4. Put the real deliverables on the quote and mark them as assets (post-production / deliverable lines with asset metadata). Those become project assets and land in video review after you win. On a deliverable (including Main), click Included / Optional next to the type badge — optional lines stay on the quote and PDF with their price so the client can see what they would cost, but they do not count in the total. Marking a main optional also marks its child assets optional.

Deliverable tree (Main → Resize / Subs / extras)

Book one Main per idea / concept (qty = number of ideas). Changing Main qty also updates Resize / Subs / Translation children to the same qty (you can still override a child afterward, e.g. translate only part of the set). On the main, click the deliverable name or the specs line (or Edit Asset Details) to open one screen for Name, Formats (click to toggle; double-click to set Main — shown with a filled Main badge), Duration, Spoken language, and Hooks (chip choices, or + for a custom value), Subtitles (chips: No, NL, ENG, … — click to select any combination; double-click sets Main: No as Main = master without burn-in on the Main line; a language as Main keeps burn-in on the Main line; other selected languages become Subs children; No selected while a language is Main also adds a No subs child). Clippter keeps that Main format on the Main line and adds missing Resize / Subs children when you save. Unchecking a format or subtitle that already exists as a line asks for confirmation, then removes that sub-asset (and its nested children) on save. Formats you only toggled in the modal and never saved can be clicked freely with no warning. If you delete a Resize or Subs row on the quote, that format or subtitle language is also removed from the Main config so it will not come back on the next modal save. Remove an unused Resize row only when you are sure (uploads on that asset are deleted with the line).

Hooks multiply ideas into cuts (and project upload slots) for video deliverables: cuts = ideas (qty) × hooks. Example: qty 2 with 3 hooks → 6 cuts / slots for that Main. On the quote, qty stays on the title (× 2); the specs line shows e.g. 3 hooks · 6 cuts · 12 files when hooks or formats expand delivery. Static ads, stills (video stills), and photos are counted separately in Deliverables & Assets — only kinds that appear are listed, e.g. 90 cuts · 18 static ads · 60 stills · 12 photos · 288 files. Specs lines use matching wording (3 static ads · 6 files, 30 stills · 30 files, 12 photos · 12 files). Nested Resize / Subs / Translation are not listed under Main on the quote view (formats and languages already sit on the Main line); Short, Snippet, Teaser, Stills, and Extra still appear as bullets.

Use + Sub-asset for extras only: Short, Snippet, Teaser, Stills, spoken Translation, or Extra. Formats and subtitle languages come from Edit Asset Details, not from this menu.

  • Resize — same cut, other aspect ratio (from Formats in Asset Details)
  • Subs — same spoken language, other subtitle / burn-in language (from Subtitles in Asset Details; nest under the Main or under a Resize). On a Resize, choose Follow Main (default) or Custom for a different Subs matrix on that format only.
  • Translation — same format, other spoken language (e.g. NL master → DE voice)
  • Short, Snippet, Teaser, Stills, Extra — shorter cuts, stills, or other nested deliverables (Short can also have its own Hooks). Their qty stays their own (Main qty changes do not overwrite them) and that qty is how many upload slots the project gets (e.g. Snippet qty 5 → five Hooks slots).

Typical example (4:5 with NL subs, plus ENG subs, plus 16:9 both ways): set Formats 4:5 (Main) and 16:9, Subtitles NL (Main) and ENG in Edit Asset Details, then save — Clippter adds the Resize / Subs children. Add Translation or Short from + Sub-asset only when you need those extras.

Do not create a second Main for “with subs” unless it is a different edit. For separate funnels or concepts, use separate Main lines (not one Main with a high qty that mixes unrelated ideas).

  1. Set delivery, feedback rounds, and expiration when you need them. Defaults often come from Company workflow and Company Finance.
  2. Attach the right T&Cs and check footer / signature.

If Custom quotes is enabled under Custom quotes, open ⋮ in the quote editor and choose Clippter Basic or Custom. Clippter Basic uses your Text highlight colour on section numbers (01, 02, …) and links (black / unset = default). Quote title and totals stay body colour. Accent is a short rule under the title; labels stay muted. Custom applies full brand colours, document logo, fonts, a rich Project Summary, optional Section intro blocks, and an optional Pitch video from Company branding on the client quote. Use Save as Template to reuse that pitch on the next quote — see Quote templates.

Retainers may need package duration (months) before PDF export. In the editor Financial Summary, retainers with a package duration also show Monthly amounts under Total (ex tax and incl. tax = contract total ÷ months). On the quote / PDF, money (payment terms, multi-tranche schedule, totals) sits in Financial Summary after the project pitch and cost breakdown — not under the header. If Project Overview fits on page 1, Cost Breakdown starts on page 2; if Overview already spills onto page 2, Cost Breakdown continues directly underneath (no blank gap).

Share or send

In the quote editor, Share can create a link, email via Clippter, or manage links (including talent links when you use them).

Moving status to Sent can be blocked if Company Finance is incomplete. See Why you cannot send a quote.

Win and create the project

When you set the quote to Won and a deal is linked, Clippter opens Mark deal as won (unless a project already exists for that quote or deal).

You’ll usually choose:

  • Create a new project
  • Add budget to an existing project
  • Do nothing

There may be a tasks and milestones step next (from the project type). Separately, quote sections that contain deliverables become Deliverables milestones on the project (same names as on the quote), so editors see Funnel 1 / Funnel 2 without re-sorting assets.

This is the path you want for client work. Dragging a deal stage to something like “won” without finishing the quote / wizard does not give you the same handoff. Starting from Projects → New blank also skips the asset and budget carry-over. See Projects overview and Get started.

Things that trip people up

  • Sending before finance setup is complete.
  • Quote with no deal, then a painful won → project later.
  • Money-only lines, no assets marked: review has nothing sensible to hang versions on.
  • Expecting status Won alone to create a project without finishing the wizard.
  • Forgetting T&Cs or signature before the client sees the PDF.
  • Lowering deliverable qty after the project exists removes the highest-numbered asset slots first (qty 3 → 1 keeps slot 1, removes 2 and 3). Empty or Not needed slots are fine; if a higher slot already has uploaded review media, Clippter blocks the save so that media is not deleted. Move the upload to a lower-numbered asset (or keep qty high enough) first.
