Invoice & costs
- Company finance defaultsQuotes and invoices need your bank details, tax info, and payment defaults filled in before they can go out cleanly. Cost structure here is what you pick when you allocate bank lines later.
- Costs: import and allocate bank linesBring bank statements into Clippter, then tell each line what it is: overhead, payroll, a project cost, income on an invoice, a tax remittance, or an internal transfer. That allocation is what feeds Finance Dashboard and project Spent.
- Finance DashboardSee revenue, P&L, profitability, budgets, allocated costs, and VAT for a calendar year.
- How Clippter calculates profit and costsClippter mixes three money stories: what you invoiced, what left (or entered) the bank, and what labor cost logged hours imply on a project. They are related, but they are not the same number.

Sell
- Capture client emails with CCKeep important client threads in Clippter by putting your workspace CC address on the email. Clippter stores the message text on the matching deal or project. You do not connect a full mailbox (no Gmail or Outlook sync).
- Companies, contacts, and dealsCRM is where clients and pipeline live. Quotes and projects work best when they hang off a real company and deal.
- Create and manage quotesQuotes are where you price the job and define the assets you’ll deliver. Win them from a CRM deal so the project starts clean.
- CRM WorkspaceSales tasks and targets for the team, separate from the deal board.
- Pipelines and deal stagesYour CRM board columns come from one active pipeline. Stage Configuration is where you create pipelines, edit their stages, and choose which pipeline the Deals board uses.
- Quote templatesReuse a quote structure so sales does not start from a blank page every time. Pair templates with [rate cards](./rate-cards-and-pricing.md) so lines and deliverable assets stay consistent.
- Rate cards and pricingA rate card is your sellable menu: crew, equipment, deliverables, and expenses. Pricing settings set the default internal hourly baseline and markups that feed client prices.
- SuppliersKeep freelancers and vendors separate from client companies so shortlists and labels stay useful.
- Why you cannot send a quoteClient quotes can refuse to move to Sent (or fail export) until Company Finance is complete.
Settings & billing
- Asset labelsAsset labels are workspace-wide tags for the project Assets tab (format, language, cut type, and so on). Create definitions here, then assign them on assets. Without definitions, you cannot usefully filter or tag.
- Company BrandingLogo, colours, fonts, and social links used in the app and on Custom quotes.
- Company workflow settingsDefaults for delivery timing, feedback rounds, quote expiration, and when clients can download content.
- Connect Google CalendarLink your Google account so meetings show on Resourcing, and confirmed Clippter shoot and edit planning can sync onto a Google calendar (both on by default; you can turn either off).
- Custom quotesEnable Clippter Basic vs Custom presentation on quotes. Custom applies your brand colours, richer Project Summary, section intros, and an optional pitch video on the client quote.
- Downloads and paymentsWhen clients can download finals depends on company defaults, and sometimes a project override.
- Personal information and signatureYour name, job details, and personal signature used on documents.
- Project numberingClippter assigns project numbers in the form `P-YYYYMMDD-NNN` (for example `P-20260911-064`). The sequence `NNN` counts up across days; it does not reset each morning.
- Project typesProject types are the skeleton a new project can load: milestone templates and default tasks. Set them once so won deals start with a real checklist instead of a blank Tasks board.
- Project workflow settingsDefaults that shape how projects, tasks, assets, and numbers behave. Each topic has its own guide:
- Same email for agency and portalDo not invite a client portal user with the same email as an agency team member.
- Seats and ownership transferSeats are billing slots. Ownership is who pays and controls the workspace. They are not the same.
- Security and MFAProtect agency sign-in with passwords and multi-factor authentication (authenticator app). Client portal MFA is separate.
- Set up your company profileMake quotes, invoices, and the app show the right company identity.

- Terms, footer, and signaturesControl what appears on quote PDFs for terms, footer text, and how clients sign.
- Trading namesUse trading names when quotes or invoices go out under more than one name or logo. Off by default.
- TrashRestore soft-deleted records before they're permanently removed.
Track time
- Absence, vacation, and sick leaveRequest time away so calendars, balances, and tracking expectations stay correct.
- Holidays (public and custom)Tell Clippter which days are non-working for the whole workspace: national public holidays plus your own company days. Those dates affect time expectations, absence counting, and capacity.
- How time worksTime in Clippter is a chain: contract → expectations → log → rules → leave → cost and capacity. Each piece has its own screen; this page ties them together.
- My TimeLog your hours against projects and see what your contract week still expects.
- Team time DashboardManagers use **Time → Dashboard** to see how the team’s week looks: logged hours, billable mix, and targets, without opening every person’s My Time.
- Team tracking overviewSee everyone’s contract hours and targets in one settings screen so My Time and the Time Dashboard have something solid to aim at.
- Time-for-timeBuild a compensation balance (overtime-style hours) and spend it as planned leave, separate from annual vacation.
- Why am I locked out of the app?Workspace time rules can lock Clippter when open (unlogged) contract days pile up.
- Work contracts (Team)A work contract is how Clippter knows someone’s schedule, cost, vacation entitlement, and time targets. Without an active contract, tracking expectations, capacity, and some cost logic stay incomplete.
