Track time

How time works

Time in Clippter is a chain: contract → expectations → log → rules → leave → cost and capacity. Each piece has its own screen; this page ties them together.

The chain

  1. Work contract (Team → person → Contract): weekday hours, Cost rate, vacation entitlement, Tracking target %, Billable target %. Without an active contract with a cost rate, logging and labor cost break. Details: Work contracts.
  2. Holidays (Settings → Holidays): public and custom non-working days. Not vacation balance. Holidays.
  3. My Time: where each person logs hours (Day / Timesheet / Calendar, plus timer). My Time.
  4. Workspace time rules: optional lock for open (unlogged) days, plus project hour budget caps. Workspace time rules.
  5. Absence: vacation, sick leave, spend time-for-time. Absence, Time-for-time.

Billable vs non-billable

Clippter sets this for you:

  • Project linked to a client company → billable
  • Internal project (no company) → non-billable

You cannot flip billable on a single entry. Billable target % on the contract is the share of *logged project hours* that should be client work (leave excluded on the dashboard hints). Tracking target % is the share of contract hours that should be logged (client + internal; approved leave can count toward tracking on the company dashboard).

How time becomes money

  • On save, hours × the person’s contract Cost rate (monthly employer cost turned into an hourly) store as labor cost on the entry.
  • That labor rolls into project Spent (with bank Project cost). See How Clippter calculates profit and costs.
  • Bank Payroll lines under Cost / Expenses are separate: real salary cash.
  • Company EBITDA uses bank project expenses + overhead + payroll (bank). Labor on projects on the company P&L is for reference so you do not subtract salary twice.

Capacity and resourcing

Expected available hours use contracts, holidays, and approved absence. See Resourcing and Reporting.

Sensible order for a new workspace

  1. Company country + holidays.
  2. Contracts (with cost rates and targets) for everyone who tracks time.
  3. Turn on workspace time rules only after the team knows the thresholds.
  4. Log in My Time; managers use Time → Dashboard and Team tracking overview.
