Project types

Project types are the skeleton a new project can load: milestone templates and default tasks. Set them once so won deals start with a real checklist instead of a blank Tasks board.

Where

Settings → Project workflow → Project Types (/crm/project-types), also on the CRM hub and Project settings.

Owners and admins manage types. Others can still pick a type on a quote or deal when the field is available.

Create a project type

  1. Open Project Types.
  2. Choose Create Project Type (or Create Your First Project Type if the list is empty).
  3. Fill Name (required). Optional Description.
  4. Type: One-off project or Retainer (ongoing collaboration).
  5. Create.

Status shows Active or Inactive. Use Edit Details to change name, description, type, or Active.

Row actions: Duplicate (name becomes {name} (Copy)), Delete (also removes that type’s default tasks and milestone templates).

Milestone templates

On the selected type, open Milestone templates.

  1. Add milestone with Title and Deadline offset (days).
  2. Reorder with Move milestone up / down.
  3. Edit or Delete a milestone template when needed.

These become project milestones when you initialize from the type on win (or load later).

Default project tasks

Section Default project tasks (checklist items for new projects).

  1. Add task.
  2. Set Task name, Production phase (Strategy / Pre-production / Production / Post-production / Distribution), Milestone template (or Without milestone), Default assignee (or Unassigned), Default hours.
  3. Add. Reorder with Move up / down. Edit with Save & close, or Delete default task.

Restore and wipe defaults

  • Restore Default Project Types: pick built-in types you are missing (Select All / Deselect All → Add Selected Project Types). Existing types stay; only missing defaults are offered.
  • Delete All Project Types → Yes, Delete All: clears your custom list (use with care).

How a type reaches a project

  1. Set Project Type on the quote or deal (sidebar Project Type).
  2. When the quote is Won, use Mark deal as won → Create a new project.
  3. After budget, if the type has templates, choose Tasks and milestones:

- Add tasks and milestones from {name}, or - Start without tasks and milestones

  1. Finish.

On an existing project, Tasks & Milestones can use Load from Checklist. Changing the type later does not rewrite tasks or milestones already on the project.

Things that trip people up

  • Winning without a project type, then wondering why Tasks is empty.
  • Expecting a type change mid-project to rebuild the checklist.
  • Deleting a type that quotes still reference.
  • Confusing Production phase on default tasks with Settings → Task phases (different lists).
