Invite people, assign roles, and keep a work contract on each member who tracks time.
Where
Settings → Team Management: or Team in the nav (/team).
Open a person at /team/[userId] for profile and Contract.
Invite and roles
- Add members from Team.
- Assign a role that matches what they should access (CRM, projects, finance, settings, and so on). Narrow roles beat “everyone is admin”.
- Check seats under Subscription if invites fail for plan limits.
- Give each active person who tracks time a work contract.
If someone already has a Clippter account (for example they signed up or joined via a request), inviting that email again adds them to your team when they are not a member yet. If they are already on the team, Clippter says so — check Team Members instead of sending another invite. Client portal emails cannot be invited as agency team members; use a different work address (see Same email for agency and portal).
Permissions are role-based. If someone cannot open Company Finance or Team tracking, their role is missing that permission, change the role rather than sharing an owner login.
Ownership
See Seats and ownership transfer. Only owners can request a transfer; the other person must Accept. That is not the same as changing a normal role.
Contracts and targets
Managers set hours, cost, vacation, Tracking target %, and Billable target % on the contract. Team tracking overview shows the matrix; How time works explains why it matters.
Portal emails
Never use a team member’s email as a client portal user. See Same email for agency and portal.
Things that trip people up
- Broad roles “for convenience”.
- Skipping contracts after invite.
- Team member email as portal user.
- Expecting My work profile to edit the contract (read-only).
