Invoices and payments

Turn accepted work into invoices, send them, and record money when it lands, either on the invoice or via the bank.

Where

Under Finance:

  • Invoices (/finance)
  • New Invoice (/finance/invoices/new)
  • Invoice detail (/finance/invoices/[id])
  • Finance Dashboard (/finance/dashboard)

On a project, open the Finance tab for quotes, costs, invoices, and billing source on that job.

Before you start

  • Company Finance banking and tax fields filled (sending client docs can be blocked otherwise).
  • Prefer an accepted / Won quote with a company. That is the clean source for lines and cover.
  • Check the project billing source (Clippter / External / Mixed).

Create an invoice

  1. Open New Invoice, or use Create invoice / Create invoice from this accepted quote from project finance when offered.
  2. Confirm Bill to (the company on the PDF / who pays), project, amounts, and tax. Bill to defaults to the project client but you can pick another company — the project stays on the original client (portal and delivery).
  3. Align with the payment structure / tranches you agreed on the quote (100% on acceptance, 50/50, and the other Company Finance defaults).
  4. Save, then send or share the invoice the way your process requires.

If the quote is already fully covered by invoices, Clippter may warn you. Accepted quote value (sometimes called contract value in archive copy) should be covered over time unless billing is External.

Record that the client paid

Two common paths:

  1. On the invoice:Record payment (partial is fine) or Mark as paid.
  2. From the bank: under Cost / Expenses, allocate the incoming line as Income and link this invoice (or split across invoices).

Pick one habit. Doing both for the same cash without care double-counts.

Defaults live under Company Finance; projects can override.

Project Finance tab

Use it to see quotes, bank project costs, invoices, and profitability for that job without leaving the project. Spent and profit maths are explained in How Clippter calculates profit and costs.

Things that trip people up

  • Invoicing with no accepted quote when you expected automatic lines.
  • External billing and “missing” revenue.
  • Wrong currency or wrong invoice when recording payment.
  • Bank Income plus Record payment for the same transfer.
  • Sending before Company Finance is complete.
  • Expecting portal access to follow the invoice Bill to company — portal stays on the project client.
  • Seeing another client's tax ID on an invoice — that only happens if Bill to still matched that quote client; when Bill to is a different company, Clippter uses that company's billing details only.
