Resourcing

See who is free, what is demanded, and how capacity looks across projects, using contracts, holidays, and planning dates.

Where

Resourcing in the top nav (planning / board views for the workspace). Project Planning tabs feed the same kind of demand at job level.

What you need underneath

  • Work contracts so weekly hours exist
  • Holidays and approved absence so capacity is not overstated
  • Assets / roles planned with dates on projects when you use planning on deliverables

Without contracts, capacity math is guesswork.

How to use it

  1. Open Resourcing → Resource planner (or Calendar for your personal week with Google events).
  2. Use the tabs Calendar, Projects, and People.
  3. On Projects / Calendar use Week or 2 weeks so block names stay readable. On People, Month is a capacity heatmap (narrow days).
  4. People and Projects show planned load (timeline bookings and Google busy when connected) — not logged timesheet hours. Logged time lives on Time Dashboard / My Time. On My Time, Scheduled also lists those bookings (and dated tasks) for the person so they can log them quickly.
  5. Deliverables marked Not needed (or planning No schedule) do not appear under Left to schedule / Scheduled.
  6. Review demand and people who still need dates or assignment.
  7. Adjust planning on the project (or board) so load matches reality.

Schedule from Calendar

On Calendar, drag on an empty time slot (or click All day) to open New booking:

  1. Choose Assign to (who the booking is for). Managers can pick any teammate; others only themselves.
  2. Prefer Pick existing → filter Crew & services for shoots, or Tasks for edit/prep work. Or use New task on a project.
  3. Confirm hours. For crew/service lines you can set start/end times, location, and Also book travel (same day).

Bookings always link to a project (existing crew/service line or task). They appear on Projects for that person. Your Calendar week still shows mainly your own Clippter blocks plus Google events.

On Projects, empty-cell + / drag uses the same New booking flow (person comes from the row you clicked).

Google Calendar

On Resourcing after you connect and turn on Show my Google events on Resourcing:

  • Overlay: meeting blocks on Calendar / Projects. On Calendar, use the sidebar checkboxes to show or hide calendars (and set colors). On Projects, open the Google dropdown to turn the overlay on or off and choose which people’s Google busy to show; blocks use muted calendar colors so you can tell agendas apart. Timed meetings show their clock range; click a block for the full title (colleagues stay Busy when titles are private). Meeting hours count toward Xh Left and the small per-day remaining number. Overlay data is cached briefly in the browser. Work location markers (e.g. Office) are not shown. Calendar sidebar checkboxes only hide calendars on Calendar — they do not change the Projects people filter. Google-native meetings stay in Google — Clippter does not create or edit them.
  • When you schedule a shoot on Projects, optional start/end times (same day) and Location can push to Google when shoot push is on. Without times, Google gets an all-day event. Open a booking block later to change hours, dates, clock times, or location.
  • Optional Also book travel creates linked travel before the shoot and a return leg after (same duration), so heen en terug appear on the phone calendar.
  • On Projects → Crew & Services call times: set From/To, optional Shoot start (appears in the Google event description), Location, and Travel each way (min) for outbound + return.
  • Push planning uses Push confirmed shoots & edit planning to Google Calendar on Settings → Google Calendar. Reconnect if Clippter asks for write access.

Exact board columns and filters follow the product UI for your workspace.

Things that trip people up

  • Planning a full week for someone with no contract hours.
  • Ignoring public holidays and wondering why capacity looks high.
  • Expecting People to match timesheets — use Time Dashboard for logged hours.
